Exhibit Space Contract Information and Conditions


April 5 and April 6, 2019
National Building Museum, Washington, DC

Cherry Blossom, Inc. is the owner, organizer, and manager of The Credit Union Cherry Blossom Ten Mile Run, and the Health and Fitness Expo.

The standard booth size at the Health & Fitness Expo will be 10 feet by 10 feet. 

Exhibitors understand that the Expo will be open for business between the hours of 3:00 P.M. and 8:00 P.M. on Friday, April 5, and 9:00 A.M. and 5:00 P.M. on Saturday, April 6.

The exhibitor must submit full payment of $1300.00 per each 10’ by 10’ booth, in the form of a check made payable to Cherry Blossom, Inc. or with credit/debit card information for VISA, MASTERCARD, or American Express, to reserve booths.  Registration and payment can be made online at www.cherryblossomexpo.org.  Electric connection can be provided at a cost of $90.00, if ordered by an individual exhibitor.

All exhibit space will be sold on a first come first served basis.  Booths will not be held without payment in full.   The deadline for registration is March 1, 2019.                       

The exhibitor agrees to be responsible for all services and other charges contracted for by the exhibitor's representatives.

Loading dock access will be available as scheduled by Cherry Blossom, Inc.

The exhibitor understands that set up is Thursday, April 4 (times TBD) and Friday, April 5, between the hours of 6:00 A.M. to 2:00 P.M.

The exhibitor will not insert nails, tacks or screws into the walls, will not use scotch tape on walls and/or columns and will use only decoration materials approved by the Washington DC Fire Department.

The exhibitor will be responsible for any damage to National Building Museum property caused by exhibitor or his representatives.

Washington, DC Fire Department rules must be observed.

Space assignment will be at the discretion of Cherry Blossom, Inc.

Cancellation refunds are contingent upon ability to resell the space and will incur a $50 processing fee. NO REFUNDS AFTER MARCH 1, 2019

Except as the exhibitor's rental obligation may be refunded as set forth above, the exhibitor is responsible for total booth rental irrespective of the reason for cancellation, including cancellation by the exhibitor because of the failure of an exhibit to arrive for any reason. Cherry Blossom, Inc., or any of the race sponsors are in no way liable for damage or loss to any exhibitor's properties through theft, fire, accident or any other destructive cause, whether the result of negligence or otherwise or for refunds in the event of the cancellation of the Expo.

Cherry Blossom, Inc. is not liable for inability to exhibit due to weather or terrorist activities. Exhibitors are advised to carry floater insurance to cover exhibit material, public liability insurance for injury to the person and property of others, and cancellation insurance. Cherry Blossom, Inc. assumes no liability for any injury that may occur to visitors to the exhibition, exhibitors, their agents and employees, or others. Exhibitors agree not to make claims against the Cherry Blossom, Inc., its employees or agents, except for breach by Cherry Blossom, Inc. of this contract.

Cherry Blossom, Inc., reserves the right to require changes in any exhibit that is deemed detrimental to the exhibition, exhibit hall, other exhibitors or attendees or that which is not in compliance with Washington, DC fire regulations.

Exhibitors must confine their activities and/or distribution of any material to the space for which they have contracted.

The exhibitor is charged with having knowledge of national, state and local restrictions on merchandising, advertising or promotional activities undertaken by his or her representative, and with payment of any necessary taxes.

  • The exhibitor will be required to collect and remit to the District of Columbia sales taxes on merchandise sold. The sales tax in Washington, DC is currently 6.0% on tangible personal property
  • The exhibitor should download a copy of the DC Form FR 800SE which dictates how to collect and remit taxes. http://otr.cfo.dc.gov/publication/2014-fr-800se-sales-and-use-tax-special-event-return-booklet
  • The Cherry Blossom, Inc., Treasurer must provide a listing to the District of Columbia of all the anticipated vendors and exhibitors, in conformance with D.C. law.  This listing must be submitted 30 days prior to the event.  After the Expo, the Cherry Blossom, Inc., Treasurer must provide to the D.C. government a listing of all vendors and exhibitors who actually sold products at the event.
  • Each exhibitor will be required to provide a Taxpayer Identification Number to the Cherry Blossom, Inc., Treasurer

Cherry Blossom, Inc., will supply each exhibitor with a standard display table and two chairs. Displays must be positioned so as not to obstruct other exhibitors.

Cherry Blossom, Inc., reserves the right to refuse booth rental space at its discretion.

Cherry Blossom, Inc., owner, organizer, and manager of The Credit Union Cherry Blossom Ten Mile Run, retains exclusive right to use of the name “Credit Union Cherry Blossom” or “Cherry Blossom 10 Mile” or “Cherry Blossom Ten Mile” on t-shirts and all other imprinted items.  Exhibitors may not sell or distribute items that include the words "Cherry Blossom" without written authorization.  If you have any questions, contact Expo Coordinators, Donna Titus at DonnaBellTitus@gmail.com or Barri Winiarski at BarriWiniarski@gmail.com.

The license granted by this contract is personal and may not be transferred without the written consent of Cherry Blossom, Inc.

All conditions to the contract are contained in this letter; there are no verbal agreements of any kind.
